SECRETARIAL/CLERICAL POSITION 2
TITLE: PERSON WHO PROVIDES SECRETARIAL SERVICES TO CENTRAL
OFFICE
RESPONSIBLE TO: Co-ordinator Central Office
ROLE: To provide reception, secretarial and accounting
services to Central Office Co-Ordinators
Responsibilities:
- To
perform reception duties which include answering the telephone, greeting
visitors and general public, handling staff and public inquiries for all
schools as well as Central office;
- To
type correspondence, prepare all correspondence and sort and distribute
incoming mail;
- Compilation
of data and reports for board-wide statistics ie. enrollments, staffing,
budgets, programs;
- Provision
of secretarial services to committee meetings;
- Preparation
of materials/equipment required for professional development along with
scheduling of facilities;
- Maintains
information as substitute wage for professional development activities and
provide costing to Human Resources;
- Sorts
and files documents and records according to predetermined classifications,
maintaining an alphabetical file of such documents;
- Making
schedules, travel arrangements and preparation for on site or off site
meetings;
- Maintains
co-ordinators schedules;
- Maintaining
accounting records for departmental budgets;
- Maintaining
and creating extensive excel spreadsheets and databases;
- Deals
with issues of a complex nature - contacts with the Department of Education and
School board members. Maintaining
responses/correspondence for same.
- Other
related duties as assigned.
